The Alexa Shopping team is looking for an Executive Assistant to support one Director and his team in Seattle . We are seeking an exceptionally bright, multitasking and self-motivated individual who has superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important.

The successful candidate will possess the ability to complete complex tasks and projects quickly with little guidance and react with appropriate urgency to situations that require a quick turnaround. This fast-paced team requires someone who looks around corners to plan ahead. Understanding basic company organization, working relationships, and business partner roles and responsibilities are important as this position will work closely with other assistants across various organizations within Amazon.

Other key responsibilities include:

  • Work in partnership with senior leaders, functional business partners, and other Executive Assistants to provide seamless support to the organization.
  • Proactively manage executive calendars with attention to accuracy, detail and allocation of time to promote productivity and recognize the need to re-prioritize as appropriate.
  • Understand business priorities and identify process improvements to create efficiency and scale for the leadership team.
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Organize, execute, and assist with team activities ( all-hands meetings, off-sites, and team social events)
  • Act as a liaison for direct reports
  • Complete expense reports, and manage corporate card purchases
  • Management of team space, including moves and re-configurations
  • Manage domestic and international travel as needed
  • Have fun at work and help others do the same!

Basic Qualifications

  • 3+ years of experience supporting Director level executives
  • Experience scheduling meetings and managing calendars across multiple time zones
  • Experience planning international travel and coordinating meetings and events with participants traveling from other countries
  • Experience with Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint
  • Experience working with Assistants at partner companies for coordinating business meetings.
