Business Operations Supervisor

Lawrence Berkeley National Laboratory has an opening for a Business Operations Supervisor to manage the operations of the Intellectual Property Office (IPO), which fosters strong internal and external partnerships that guide innovations from Berkeley Lab toward the marketplace. This position will be responsible for supervising operations employees, leading internal compliance with policies and procedures, supporting human resources, budgeting, and financial management, and managing physical and virtual infrastructure. This position will also advise all IPO and Berkeley Lab employees on matters relating to IPO operations, and provide regular updates on the status and progress of operations.

What You Will Do:

Supervise operations functions for IPO, including business systems, administration, procurement, and accounting, including supervision of several employees.

Ensure work assignments optimize skills and abilities, and set clear and realistic expectations.

Serve as advocate to IPO leadership, and partners throughout Berkeley Lab.

Lead internal policy compliance, data management and reporting for the Office; support the Chief Technology Transfer Officer and other managers on tracking of external reporting requirements and internal metrics.

Support HR activities for the department, in collaboration with the Chief Technology Transfer Officer, managers, and HR partners, including recruiting, new hire onboarding, performance review and compensation-related processes.

Manage budgeting and accounting tasks in coordination with the Chief Technology Transfer Officer and Finance representative.

Track current operating and Department of Energy (DOE) direct budgets (including timekeeping, travel, procurement, conferences) and project future budgets.

Develop budget line items, including direct funding amounts.

Track hours, expenses, and accruals versus line items on a monthly basis.

Develop a system for estimating current patent costs and projecting future costs.

Reconcile estimated and projected costs with accruals, and project future budgets out 2 to 3 years, quarterly and semiannually.

Oversee license expense, collections, and royalty distribution.

Manage IPO safety coordinator; establish and ensure compliance with safety and security procedures.

Serve as building manager for the Office and manage all physical property, including building, office space, electronics, and procurement for the department.

Maintain all virtual infrastructure, including the IPO website and emails.

Advise all IPO and Berkeley Lab employees on matters relating to IPO operations, and provide regular updates on the status and progress of operations. May also represent IPO and Berkeley Lab to other Berkeley Lab offices, UC campuses, and DOE national laboratories.

What is Required:

Bachelor's degree in business-relevant disciplines and 5 years of relevant knowledge and experience in planning, providing, and coordinating a spectrum of operations support services; or an equivalent combination of education and experience.

Supervisory experience with proven leadership and performance management skills sufficient to lead, direct, and develop a small team.

Experience and leadership ability in core business operations functions such as strategic planning and implementation, human resource management, property management and procurement, management of databases and other virtual infrastructure, general financial analysis, and internal compliance, in a complex, dynamic environment.

Experience developing, implementing and monitoring operational improvements resulting in more efficient and effective processes, procedures and plans.

Proven ability to work on multiple projects with varying priorities and deadlines.

Advanced computer experience, which includes the use of email, Excel, Word, financial and information management systems.

Proven ability to effectively interact with personnel at all levels throughout an organization.

Demonstrated skills to develop department-level sensitive communications and presentations.

Demonstrated ability to learn to design, develop and present briefings and reports to a variety of audiences and stakeholders.

Previous experience with managing employees in a union environment and ability to understand union contracts is a plus.
