Job Summary

The Grants Coordinator manages public funds received through grants and contracts to support the College, its students, its initiatives and its community partners. Seek out and research grant opportunities and recommend funding for projects. Assemble and lead teams for mid-size to large grant proposals, write grant applications for small grant proposals. Support faculty and staff led proposal efforts, assist grant writing teams with budget preparation and review grant applications and budgets as requested. Monitor all grant-funded projects and provide processes for compliance with applicable regulations, guidelines, and College policies, procedures, and processes. Provide grant training to new and existing project managers, grant staff, faculty and college staff regarding grant procedures/processes, regulations and guidelines as needed to ensure compliance with individual grants.

Education/Qualifications
  • Associates or Bachelor’s Degree in business, communications, English or communication-heavy curriculum preferred.
  • Accounting class or understanding of budget creation and monitoring required.
  • Previous contract or grant administration is preferred but not required.
  • Prefer certification or coursework in grant administration.
Knowledge, Skills & Abilities
  • Understanding of financial statements, budgets, and other financial information.
  • Strong administrative and record management skills.
  • Good writing skills and interpersonal communication skills.
  • Must have excellent organizational skills.
  • Excellent software skills in Word and Excel.
  • Must become familiar with College’s financial software.
Working Conditions/Physical Requirements
  • Will spend considerable time working on a computer.
  • Will work in a team environment, but must be self-motivated and able to work independently when needed.
  • Regular office work environment on a multiple building campus.

  • Maintain official grant files for all but financial reporting. Ensure accuracy and completeness of files, respond to requests for information, respond to audits, and destroys files in accordance with federal/state regulations and College policies.

Budget Development and Monitoring

  • Review and assist with proposed budgets and budget narratives for grant applications to ensure that they meet federal guidelines and that College budget considerations are incorporated.
  • Assist the Controller with setting up grant budgets in the College’s Financial System.
  • Review and approve expenditure requests for purchases from grant funds, and create purchase orders for same.
  • Review budgets and provide budget analysis to grant project managers at least quarterly.

Grant Administration

  • Ensure grant reporting is completed in full and in a timely manner.
  • Review grant reports and write grant reports as required.
  • Close out grants and ensure that the requirements are met.
  • Maintain current knowledge in grant administration best practices.
  • Request approvals from funders for purchases, modifications and procedures.
  • Review grant budgets on a quarterly basis; request updated reports from grant managers regarding progress toward grant goals and objectives, and report findings to Controller; if further review is necessary, provide information to appropriate grant supervising/oversight staff.

Administrative and Regulation

  • Maintain thorough understanding of the common regulations and how they apply to the grants.
  • Develop new grant procedures and processes as needed and recommend policies and procedures to help the College comply with applicable regulations.
  • Review and maintain the grant procedures and processes manual, ensuring that College documents are compatible and compliant with the Federal Uniform Grant Guidance (UGG).
  • Assist grant staff with developing specific guidelines and documents/forms for individual grants, ensuring their compliance with college policies, procedures, and processes as well as individual grant guidelines and federal regulation and guidance.
  • Provide training (both formal and informal) as needed and/or requested to grant project managers, grant staff, faculty and college staff regarding grant regulations, guidelines, and college grant procedures and processes.
  • Ensure that responsible person/body considers approval of procedures and processes as appropriate.
